Position Summary:
The Administrative Program Assistant (APA) position offers administrative support to various CFF programs out of the Willow Grove office. The primary responsibility is to provide administrative support to the Program Supervisors and Directors. The ideal candidate would be reliable, organized, detail oriented, and have strong communication skills. This is an onsite, hybrid full-time position of 40 hours per week.

Responsibilities: 
  • Answer incoming calls and routinely check voicemails. Direct calls to the appropriate departments.
  • Monitor incoming faxes and forward to appropriate staff and departments daily
  • Retrieve and deliver mail to departmental personnel or to the post office
  • Manage office supply inventory and place orders to maintain adequate stock
  • Process and fulfill records requests
  • Complete data entry and document management utilizing EHR system
  • Review failed claims and activities and problem-solve, address, and fix any issues
  • Review billing reports, verify MA, and ensure accurate claims are entered bi-weekly
  • Compile, cross-reference, and submit units for billing, assuring accuracy for quality control
  • Verify billing charges have been entered correctly by billing specialist
  • Complete Service Verification and run program data for stakeholder reports
  • Prepare documents using Microsoft Word or Excel and prepare presentation materials using PowerPoint
  • Compose and distribute correspondence on routine matters, as directed by programs
  • Take and prepare minutes for departmental meetings
  • Add/Delete youth in AVA to maintain current and active program censuses
  • Review AVA every Monday and the first of each month to verify MA eligibility for all clients. Report any youth whose eligibility may be in jeopardy.
  • Complete monthly Voter Registration reports and send them to the Director of Compliance by the fifth of each month
  • Complete and track chart audits as directed by program supervisors. Alert program supervisor of any deficiencies related to outstanding paperwork
  • Complete discharge chart audits as directed by program supervisors to ensure all necessary documentation is present before discharging a young person from the program. Alert program supervisor of any deficiencies related to outstanding paperwork.
  • Enroll new youth into the program’s EMR system and dismiss when services are complete
  • Create and maintain electronic client files and conduct regular chart audits
  • Scan and save all documentation in client charts
  • Prepare/Distribute/Save all DocuSign Consent/Release Packets following Compliance protocols.
  • Send letters to the young person’s Primary Care Physician and school (if attending) to obtain medical and educational records and establish collaboration for continuity of care
  • Prepare and send letters of correspondence as requested by program leadership and staff
  • Handle and maintain paperwork containing confidential information
  • Track deadlines and provide communication to responsible parties in a timely manner
  • Use and implement the 5 core values of Trauma-Informed Care in all work practices – Safety, Trustworthiness, Choice, Collaboration, & Empowerment
  • Complete other duties as assigned by supervisor or program director

Required Qualifications:

  • High School Diploma or GED
Preferred Qualifications:
  • Bachelor’s degree in human services or related field
  • One or more years of experience in a healthcare organization or human service field
Work Environment:
  • Work in standard office environment
  • Hybrid role with 4 days in the office per week, with one of the required days being Mondays
